About the Opportunity
Co. Innovation Centre (COIC) is seeking an energetic and detail-oriented Office Administration, Business Administration, or similar college diploma student to join our team for a fall placement. This role is funded by the ICTC WIL Digital program, which helps students gain hands-on experience in digitally driven and innovation-focused workplaces.
Background for Role
The Digital Services Assistant will serve as the first point of contact for visitors, members, and partners at COIC. Beyond traditional reception duties, this role supports the centre’s mission by integrating digital tools and technologies into daily workflows, ensuring a modern, tech-enabled front-of-house experience.
Work Term Role
As part of a cross-sector innovation centre focused on digital transformation, the successful candidate will learn to use digital systems to manage bookings, visitor information, and internal communications. This role offers exposure to how technology supports operational efficiency, collaboration, and user experience in an innovation-focused environment.
Key Responsibilities
- Greet and assist members, guests, and visitors in a professional, welcoming manner.
- Welcome, register, and direct visitors, guests, and contractors, ensuring they are connected with the appropriate contact for their visit.
- Monitor and respond to inquiries via phone and digital platforms (e.g., shared inboxes, internal communication tools)
- Manage meeting room calendars and bookings through digital scheduling tools
- Maintain the front desk area and ensure signage, promotional materials, and digital displays are up to date
- Support data entry and management tasks, ensuring accuracy and confidentiality
- Maintain up-to-date administrative records, including mailing lists, emergency contact lists and other COIC team resources.
- Assist with basic troubleshooting for visitor-facing technologies (e.g., digital displays, booking systems)
- Support team members by using various technologies, apps or software to support the daily operations of a building
- Collaborate with the COIC team to support events, programming, and other related daily operations
- Perform other duties as required, demonstrating flexibility and a proactive approach in supporting COIC’s goals, priorities, and strategic initiatives.
Ideal Candidate
- Enrolled in a college diploma program in Office Administration, Business Administration, or a related field, and eligible for ICTC WIL Digital funding
- Comfortable using digital tools and learning new software platforms
- Strong interpersonal and communication skills
- Organized, dependable, and able to multitask in a dynamic environment
- A proactive attitude and willingness to contribute ideas to improve processes
- Prior experience in customer service or administrative roles considered an asset
To qualify under the ICTC WIL Digital program, you must:
- Be registered full-time or part-time in a program within a publicly funded Canadian post-secondary institution, regardless of age
- Have Canadian citizenship, Permanent Resident status, or Refugee status
- Be legally entitled to work in Canada
- Provide proof of enrollment or registration (cannot have graduated before or during this placement)
